How to get started
There are currently two ways to start your adventure with INKbusiness. One is to make an appointment with us for a demo [link], where we will help you set up an account and discuss how the system works, and the other is to set up an account yourself and explore it without our help. You can access the application in several ways depending on your device. If you prefer to download it to your phone, tablet, or computer use these links depending on the system you have:

After launching, select the 'REGISTER' option and then enter the relevant data (paying special attention that the email you enter is the email you actually use to contact customers and to which you have access). We choose an adequate role for ourselves and enter a phone number and confirm with an SMS code.
The next step is to enter the 'employees' tab. After clicking the 'invite artist' or 'send invitation' button, we can either create a brand new account for an artist who does not use INKsearch or send an invitation to a tattooer who has an account. In the case of a sent invitation, we have to wait for the acceptance of the request from the artist to start creating his schedule.When we finish adding tattooists, we can go to the schedule. By clicking on the desired time in the weekly table, we can add a session for the selected artist. INKbusiness allows us to add a lot of facilitating information about the session later, such as: the body part on which the tattoo will be performed, the length of the session, the predetermined price/price range, the amount and whether or not to pay a deposit.
An additional advantage is the easy addition of photos to a given session, allowing you to grasp at a glance what tasks await you on a given day.
In order to log in to INKbusiness, you need to open the application or open panel.inksearch.co in your browser. With our login information, we will be able to enter our tattoo panel/panel of our studio.
The cost of using the system can vary depending on the scope of services selected, settling between 19 euros and 59 euros per month. A detailed description of specific variants can be found at business.inksearch.co/pricing.
Appointment notifications are sent as soon as the session is entered into the schedule and at two additional times (one week and one day before the session).
There is an option to export data, which is on our side (Versum and Google Calendar). With other tools, it may take a while longer to find the best way to transfer data to the calendar in INKbusiness, but it won't be a problem.
To add a visit, go to the 'schedule' tab and then click on the '+' sign located in the lower right corner of the schedule or click the tile of a specific time on a given day. The visit window then opens, where we can enter all the necessary data and save the session.
Each added visit has an edit option. When we click on a session tile, we see its description and buttons, including the one that highlights the button under the mouse as 'edit' (pencil icon). After clicking the options, we can easily change the date or other information. It is a good idea to add a note that the session has been moved from another date to avoid organizational chaos.
Selecting the tile of a specific session, we see the 'BILL' button. After clicking on it, we can choose how to make the payment for the session (we also have a voucher billing option).
All you have to do is enter the 'to be billed' list and use the 'BILL' button next to the specific session. It will direct you to the session window, where you will be able to perform the entire billing operation for a particular visit, making it disappear from the window showing visits to be billed.The status of a session marked as billed can no longer be changed.
If a session had to be canceled for some reason, click its tile in the schedule, use the 'BILL' button and then find it and, after checking the 'Cancelled Session' option (located under the session's deposit and price info), click the 'BILL' button.
Once settled, events cannot be edited or deleted, so marking a session as cancelled is irreversible. When we are sure of this action, we have various cancellation reasons to choose from (for our future information).
Click on the circle icon which is located in the left corner at the top in, then the display of the tattooist's calendar will take place.
We can easily delete a future visit by clicking its tile in the schedule and then using the three dots trash can icon in the upper right corner of the session window and selecting delete. Billed visits (checking the cancel option also counts as billing) cannot be deleted.
By adding a customer's data for his first session, we automatically create his account in our customer database. If in the future, in subsequent sessions, any of his/her data changes, edit them through the 'CUSTOMERS' tab after searching for a customer profile in the database.
Searching for a given customer in the inventory, we can edit the customer's description, add a note and have an overview of the history by clicking 'SHOW' and then 'ADD NOTE' (customer evaluation, in addition to a description).
To edit a customer's data (name, phone number, email), find the customer in the customer list by clicking the 'SHOW' button and then through the 'EDIT' option make the appropriate changes.
Once placed in the database, a customer cannot be deleted, but can be edited and therefore also marked, for example, as a former customer, at the discretion of the account owner and necessity.
If we have selected the data proposed to us (based on the data from the first session of a given client) at each session, subsequent sessions are added to the client's history in the client's card, so we can easily see whether the client is returning to us, or at what stage of work we are, for example, in the case of a tattoo consisting of multiple sessions.
To find a customer in the database, we need to select the 'CUSTOMERS' tab and then enter one of the basic data (name/nickname, phone, email) into the search engine (entry field marked with a magnifying glass).

To add an employee account, search for the 'EMPLOYEES' tab, then the 'SEND INVITE' button in the upper right corner, and depending on whether the tattoo artist already has an account on INKsearch (->invite artist) or not (->create new account), select the appropriate option. The invitation and creation of the account is done using the tattooist's active email. After the invitation, the person must open the email received from the system and accept the request-only then can we start creating the schedule.
Go to the 'EMPLOYEES' tab and, after finding the appropriate person, click 'EDIT', which will give you access to a number of account editing options. It is worth filling in all the information, it makes it significantly easier to navigate our tool.
If our cooperation with a given tattoo artist comes to an end and we want to disconnect his and the studio's account, we should enter the editing options of a given employee and find - the last on the right - the 'STUDIO' option. There you will find the described 'REMOVE' button (remove the artist from the studio). This does not mean removing the artist's account from the whole system, only the end of our cooperation (this is not an irreversible action).
Due to the different approaches and requirements, we have created three options for the artist to access his schedule, relying more or less on the person managing the entire studio. To access them and choose one of them (the default option is full access to add, change and delete events), head to the 'EMPLOYEES' tab, select the 'EDIT' button next to a specific person and search for 'ACCESS' among the options. Now it remains to select the desired version and click 'SAVE'.
Thanks to INKbusiness, we can easily monitor the revenues of both the tattoo studio and individual tattoo artists. The default report displayed on the homepage is the report for the entire studio.
If we want to see the revenues of individual artists, we just need to click on the circular avatar of the tattoo artist in the upper left corner of the chart. To return to the studio's overall report, we need to use the cross that appears to the right of the avatars.
An important function from a marketing perspective is the ability to analyze which medium brings us the most revenue. On the homepage, we can see a pie chart divided by sources, which are available to choose from when adding a new session to the schedule. It's worth keeping track of this statistic as much as possible, as it can help us improve our actions on channels that don't bring us new customers in the future. When adding a reservation, just select and check the medium icon through which the customer contacted us (INKsearch, Instagram, Messenger, etc.).
INKbusiness also allows us to track the number of hours worked by each artist. We can see this chart on the homepage (a pie chart in the upper right corner of the page, where we can choose whether we are interested in a summary for a week or a month).
Filling in the tattoo studio's details works very similarly to filling in the details of tattoo artists. Just select 'PROFILE' from the tabs on the home page, and then fill in the selected data. The system informs us what percentage of the total has already been completed by us, which makes the whole process easier.
Changing the password is possible after logging out and resetting the password as a reset after forgetting the password ('RESET PASSWORD' button, entering the e-mail address and changing it to a new one) or in the Settings.
We are able to determine the availability of an employee by selecting the 'EDIT' option next to his profile on the list in the 'EMPLOYEES' tab and then heading to the 'AVAILABILITY' tab. As we expand the list of days, we can click on their names to add or remove them from the list of working days. This way, if we happen to add a session outside of his working hours, the system will notify us.
In the same way that we can determine the availability of an employee, we are able to mark the opening hours of the studio. We select the 'PROFILE' tab from the main panel, then 'AVAILABILITY' and adjust the options to suit our conditions. In case we try to add a session outside the studio's working hours, the system will notify us.
When setting the opening time, we can easily choose the option of the same opening hours for all working days (by checking the 'SAME HOURS FOR ALL DAYS' option), as well as the option in which we choose different studio/tattoo studio working hours for different days.
Due to the frequent introduction of improvements to our system, it sometimes happens to hit the update information. It takes a few minutes at the most, just refresh the page on the site or wait until the login password window appears in the application.
Each of us is only human, so forgetting your password can happen. To regain access to your account, simply select the 'RESET PASSWORD' option in the login panel and, through the email attached to your account, finalize the procedure, creating a new, secure password.
When you open the 'GRAPHIC' tab, you see the calendar tables. By default, a general studio schedule is visible and pinned at the very top, which can be used by the studio manager/administrator to schedule their work, or as a field for scheduling additional services beyond tattooing, such as piercing. Tables of individual artists' graphics can be seen below, and we can change the order of display at will, using the cogwheel icon and the 'SHOWING ORDER' option and then using the 'up and down' arrows.
Our system allows you to mark vacation periods in the schedule, which will avoid organizational clutter. The way is as follows: open the window for adding a new event for a given tattooist, then from the available types of events select the 'OTHER' button, then check the option 'THIS IS A DAILY SESSION' (located under the date field), select the date range and in the name of the event enter, for example, 'vacation'. For more visibility, we can choose a contrasting color. Done.
The multichat feature is fully available in the INKbusiness app (in the app we can connect additionally to Instagram, Messenger, Whatsapp, TikTok and Gmail), while in the browser version the available chat is the one connected to INKsarch, which connects automatically in both versions and does not require additional login actions.
INKbusiness connects to our account on INKsearch automatically whether open in the browser or in the app.
To connect to Instagram, select the 'CHAT' tab from the home screen, click the Instagram icon and then log in as we would normally do in the Instagram app. This will give us access to the standard browser-based version of Insta, which we can use as needed from now on.
To connect to Messenger, select the 'CHAT' tab from the home screen, click the Messenger icon and then log in with your Facebook login information. This opens us up access to all the conversations that are in the account.
To connect to Whatsapp, select the 'CHAT' tab from the home screen, click the Whatsapp icon and then log in with the appropriate credentials. This opens up access to the account assigned to the credentials through which you logged in.
After selecting the 'CHAT' tab from the home screen and clicking the TikTok icon, we can choose the most convenient login option for us. A browser-based version of TikTok will open up in front of us with access to all its features.
Connecting INKbusiness with Gmail is done by selecting the 'CHAT' tab from the home screen, clicking the Gmail icon and then logging in with the appropriate data. This action gives us easy access to all emails.
